  • Project or installation details: appliance type, chimney or flue condition, relevant home characteristics, and photos provided by you, allowing us to prepare an accurate quote or service visit.
  • Order and billing details: ordered products or services, delivery and billing address, payment status, and invoices. We never store full credit card or bank account details ourselves; payments are handled via secure payment service providers.
  • Communication data: contents of emails, contact or chat messages, and records of telephone appointments, ensuring we can handle your request correctly.
  • Technical data: IP address, browser type, device details, and cookies when you visit our website (see section 7).

3. Why do we use your data?

We process your personal data strictly for the following purposes, based on a clear legal ground:

  • Answering enquiries and providing quotes: to send you a requested quote, advice, or information (pre-contractual measures, Art. 6.1.b GDPR).
  • Performance of a contract: processing and delivering your order, as well as installing, servicing, or repairing your stove or flue, including scheduling and customer support (Art. 6.1.b GDPR).
  • Invoicing and accounting: generating and retaining invoices, and complying with statutory tax and accounting obligations (legal obligation, Art. 6.1.c GDPR).
  • Warranty and after-sales service: managing warranty claims and service visits following purchase or installation (performance of a contract and legitimate interest, Art. 6.1.b and 6.1.f GDPR).
  • Newsletters and marketing communications: strictly with your explicit prior consent (Art. 6.1.a GDPR). You can unsubscribe at any time using the link at the bottom of every email.
  • Website analytics: to improve our website and services, using analytical cookies only with your consent (Art. 6.1.a GDPR).
  • Security: protecting our website and internal systems against abuse and fraud (legitimate interest, Art. 6.1.f GDPR).

We do not use your data for automated decision-making with legal effects, nor do we ever sell your data to third parties.

4. Who do we share your data with?

We only share your data when necessary to deliver our services, and exclusively with third parties that offer adequate safeguards:

  • IT and hosting partners: our website and data are hosted with Google Cloud (Firebase). Data processing agreements are in place with these providers.
  • Payment service providers: to securely process your payments.
  • Couriers and logistics partners: to deliver your order or spare parts.
  • Manufacturers and importers: whenever required for processing warranty claims.
  • Accountants and public authorities: whenever required by law.

If data is processed outside the European Economic Area, this strictly occurs under suitable safeguards, such as the European Commission's Standard Contractual Clauses.

5. How long do we retain your data?

We do not store your personal data longer than necessary for the purposes for which it was collected, or as required by law:

  • Unpursued quote requests: up to 2 years after the last contact.
  • Customer and installation data: for the duration of the customer relationship and thereafter for as long as necessary for warranty and after-sales service.
  • Invoices and accounting records: for the duration of statutory retention periods (up to 10 years).
  • Newsletter subscriptions: until you unsubscribe.
  • Cookies: depending on the lifespan per cookie (see section 7).

6. Your rights

You have the right at any time to:

  • access the personal data we hold about you;
  • rectify inaccurate or incomplete personal data;
  • request erasure of your data, provided no statutory retention obligation applies;
  • restrict processing of your data;
  • data portability for data you provided to us directly;
  • object to processing based on our legitimate interest or direct marketing;
  • withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.

Please send your request to info@pelletkachelzorg.be. To verify your identity, we may ask for additional information. We will respond within one month at the latest.
